We are looking for a personal assistant to Managing Director (MD) to provide an efficient and responsive administrative, organizational and logical service to the MD, helping him to manage and prioritize his time and provide secretarial assistance to the MD and Management Team.
Duties and responsibilities
Read, monitor and respond to inbound e-mails to the M.D.
Answer the calls and handle the queries for the M.D.
Take dictation and reply to e-mails on behalf of M.D.
Maintain the MD’s diary and meetings
Organize the open projects and records per supplier on behalf of MD
Organize the travel and accommodation requirements for M.D.
Organize the Personal files of M.D.
Arrange for visitors accommodation, taxi pick up and meetings in office
Keep record of incoming mail and deliver to the end recipient
Keep records of incoming parcels and samples of products from suppliers with dates
Responsible to keep tidy and clean filing records both in electronic format, and hard printed copies
Execute any other job requested by the Directors or/and the Managers and supervisors of the company
Educated to a degree level
A minimum of 3-4 years PA/Secretarial experience at a senior level
Good computer literacy (MS Office, Excel, Word, Power Point)
Excellent organizational skills
Excellent communication skills in English both verbal and written
Professional telephone manner
Bright and confident personality
