We are currently looking to recruit an Executive Assistant who will be involved in the daily tasks of our CEO, to join our growing team in Limassol.

Type of Employment: Full-Time

Location: Limassol, Cyprus

Key responsibilities of the position:

The Executive Assistant will be involved in daily tasks of the CEO and all requests have to be administered, managed, and completed within the timeline required and to exemplary standards. Responsibilities will include but not be limited to:

  • Manage CEO’s calendar and set up meetings, carry extensive and efficient email correspondence.
  • Deal with CEO’s personal matters including holidays, flights, banking, family, housing and other private matters as needed
  • Handle confidential matters with discretion
  • Track daily expenses and prepare weekly, monthly or quarterly reports when needed
  • Assist CEO on day-to-day business tasks
  • Screen telephone calls, enquiries and requests, and handle them when appropriate.
  • Liaise with clients, suppliers, advisors, shareholders, intercompany directors and other staff.
  • Organize and attend meetings, arrange business trips (including flights and accommodations), ensure the CEO is well-prepared for meetings/business trips, prepare meeting agendas
  • Process CEO business expenses and other administrative items.
  • Carry out specific projects, research and administration as required by the Shareholder.
  • Conduct research on items/companies/competitors/etc as requested by the CEO
  • Manage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, and meal coordination.
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, maintenance of filing system and contact database.

Job requirements and competencies:

  • 3-5 years of work experience as an Executive Assistant, Personal Assistant or similar role in highly intensive environment
  • Able to communicate (written and verbal) effectively and clearly in a multicultural environment. Languages: English is Must have
  • Understanding of Cyprus environment, culture and networking is a must
  • Outstanding organizational and time management skills
  • Discretion and confidentiality
  • Excellent knowledge of office products
  • Ability to work under pressure and meet tight deadlines
  • Excellent problem solving skills
  • Ability to research, digest, analyze and present material clearly and concisely
  • Excellent interpersonal skills
  • Must be able to work on your own initiative
  • Honesty and reliability
  • An eye to attention and detail
  • Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines
  • Readiness to be contacted out of office hours
  • Experience in IT industry would be preferable
