Requirements to the candidate
University Degree
Proficient PC user (MS Office, Excel, Power Point, Visio).
Similar previous experience is mandatory.
Organized, reliable, strong interpersonal communication and negotiation skills, able to work under pressure and adapt to new conditions and changes.
Languages: good English (spoken and written); Greek – an advantage.

Duties of the Secretary/Office Administrator, responsible for the proper performance and discharge of the company’s administrative support function, shall be as follows :
(a) liaise and provide assistance to all departments of the company;
(b) fulfil general administrative and secretarial responsibilities;
(c) manage all in-bound and out-bound correspondence, answer emails and sort mail;
(d) answer phone calls and transfer them as necessary;
(e) arrange in cooperation with IT function for the outgoing voice message for the company’s telephone line;
(f) maintain and keep up-to-date all secretarial files and the company’s contact data-base;
(g) perform general clerical duties like drafting, formatting, printing, photocopying, faxing, emailing and filing relevant documents;
(h) manage outgoing and incoming post and record data on special deliveries;
(i) maintain up-to-date electronic register of powers of attorney issued by the company and file hard copies as appropriate;
(j) liaise with the local service providers to assure continuous running of the office and office facilities including daily cleaning-up of the office premises, maintenance of the office a/c system, communicating with the office landlord, etc;
(k) review current and potential suppliers with prior tender evaluation;
(l) maintain stock lists and order office supplies as needed;
(m) arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments;
(n) manage reception area and look after visitors;
(o) plan and arrange corporate events, including organising catering;
(p) assist the Managing Director with implementation of office interior design restructuring, if and when necessary; and
(q) provide any additional support to the Managing Director and company staff, as from time to time required.
