The role

The duties of a Receptionist include in providing secretarial, clerical and administrative support in order to ensure that various services are provided in an effective and efficient manner.

The ideal candidate will possess the following qualifications/skills:

  • BA/BSc University Degree in Business Administration / Management / Secretarial Studies or any other related subject is desirable
  • Proficiency in the use of Microsoft Office Suite Package (Word, Excel, Power Point & Outlook)
  • Excellent communication and presentation skills
  • Excellent organisation, planning and time-management skills
  • Ability to be flexible and supportive to colleagues and others interacting
  • Ability to work under pressure and meet deadlines
  • Ability to pay attention to detailed information
  • Ability to work in a cross-cultural environment

The successful candidate will be accountable for:

  • Answer telephone and operate switchboards directing all incoming phone calls and connect them to the appropriate person
  • Assessing and directing requests for information from both external and internal sources
  • Coordinate office activities
  • Schedule follow-up appointments
  • Provide administrative support to all employees
  • Ensure cleanliness and orderliness in the reception area
  • Update appointment calendars and scheduling appointments for the right dates
  • Develop and maintain an accurate filing system
  • Greet warmly all visitors and clients entering the company’s premises
  • Monitor visitor access and maintain security awareness
  • Report any security related matters to the assigned supervisor
  • Monitor the use of supplies and equipment within the company
  • Schedule appointments in the meetings and conference rooms
  • Direct all incoming phone calls and connect them to the appropriate person
  • Assist in the planning and preparation of meetings and conferences
  • Coordinate mail flow received in and out of the office as well as collecting and distributing parcels and other mail
  • Control inventory relevant to the reception and stationary
  • Gather health insurance correspondence
  • Arrange emails and faxes in a professional manner
